How do I manage permissions for contacts added to my Birdeye account?


Using Birdeye, you have the ability to send emails and texts to your customers to solicit feedback. There might be instances when the customer(s) may not want to receive any communication from the business. In such a scenario, Birdeye allows you to manage permissions for communication with the contacts.

Using permission settings, you can opt-out or opt-in for communication with a single contact or multiple contacts. The 'Opt out' permission ensures that no communication is sent to the customers from your Birdeye account. Once opted out, you can opt in again at any point.

MANAGING PERMISSIONS FOR MULTIPLE CONTACTS

To manage permissions for multiple contacts, log in to your Birdeye account and click on the 'Contacts' tab on the left navigation rail. On the new page, click on the 'More' drop-down button and select the 'Edit permissions' option.

Now, select the contacts for which you want to manage permissions and click on the 'Edit permissions' drop-down button. 

Once communication settings are updated, a success notification will appear on the top of the 'Contacts' page. 

MANAGING PERMISSIONS FOR A SINGLE CONTACT

To manage permissions for a single contact, hover over the contact and click on the corresponding 'Actions' drop-down button.

Select the 'Edit' option.

When a slider opens on the right, you can update the permissions under 'Communication preference'.

MANAGING PERMISSIONS FOR CONTACTS VIA INBOX

Opt-in and opt-out contacts from sending and receiving texts and emails by clicking on 'Inbox' from the left navigation rail, choose the desired contact you wish to opt-in or out, hover over the name of the contact, and click on the 'Pencil' icon.

On this screen, you can view text & email opt-in and opt-out buttons right under the 'Communication preference' tab.

A user can turn on and off these buttons based on the requirement. If you wish to communicate through the mail with a particular contact and opt-out from texts, then just turn on the 'Email opt-in' button and turn off the 'Text opt-in'  as the image suggests below.

  1. A user can opt in and out of contacts from both text and email options but will be unable to update the communication preference if the contact is blocked.
  2. The communication will be stopped if the contact opts out by sending a command text such as 'Stop' and 'Unsubscribe.'

IMPORTANT

If a contact's email id is provided and phone number is missing then a user will not be able to update the 'Text opt-in' option as the phone number is required to use this option. Likewise, if the phone number is provided and email is missing then a user will not be able to update the 'Email opt-in' option.

MANAGING PERMISSIONS ON THE BULK UPLOAD TEMPLATE

While uploading multiple contacts in bulk, all the contacts are opted-in for communications by default. You can manage permissions for one or more contacts using the corresponding drop-down under the 'Permissions' column. Select the option you want and save the Excel file.

USING COMMUNICATION PREFERENCE FILTERS

To view contacts based on preference type, click on the 'Communication preference' tab on the right side of your screen. You can apply filters to view contacts based on their permission types. Here are the permission filters available under 'Communication preference':

Text opt-in Using this filter, you can view the contacts for which text messages are opted-in.
Email opt-out This filter allows you to view the contacts for which email communications are opted-out.
Text opt-out This filter allows you to view the contacts for which text communications are opted-out.
Blocked You can view all your blocked contacts using this filter
