Birdeye allows you to add users to your account effortlessly. This enterprise-grade 'User Management System' is designed to help you add and fully set up a user in the dashboard.
In a multi-location account, you can add users at two levels - 'Enterprise' and 'Location'
Enterprise users - Users with this access level can access all locations within the account. They will also get instant access to all new locations added to the account in the future.
Location-level users - These users have access to one or more locations but not all the locations within the account.
To add users to your Birdeye account, click ‘Settings' in the left navigation rail.
Under 'Account,' select 'Users.'
Adding a Single User
Click the 'Add users' button under the 'Users' page. Now, you will see an option to add either a single user or multiple users.
To add a single user, click 'Add a single user.'
In the 'Add a user' drawer, enter the user's first Name, last Name, email, and mobile phone. An email will be sent to the user so they can set their password and log in.
Select the locations you want to assign to the user
By default, 'All locations' is selected. If you select all locations, the user will be added as an Enterprise user and will automatically be added to all new locations created in the future. To prevent the user from being added to future locations, select 'Do not add to future locations.'
Select a role for the user from the role drop-down menu.
Select the user's language from the language drop-down menu.
Select the teams you want to assign the user to. You can assign the user to one or more teams.
Further, customize the user's 'Notifications' settings. If required, enable 'Override role notifications' to customize notification settings for the user. Finally, click 'Add' to create the user.
NOTE:
The notification settings you define for the user at this stage are the 'Default' settings for the user. To know more about notification settings, read the support article: Understanding Birdeye alerts.
Once you click 'Add,' the user will receive an email invitation with a 'Set your password and login' button.
The user must click 'Set your password and login' in the email and create a password to access the Birdeye account.
The password must:
Include at least 1 number.
Have both uppercase and lowercase letters.
Contain at least 1 special character.
Be at least 12 characters long.
After entering and confirming the password, click 'Set password' to complete the setup.
Adding Multiple Users
Birdeye allows you to add users in bulk and define the notification settings for each user.
Click on ‘Add multiple users,’ and on the next page, click 'Sample spreadsheet' to download a sample spreadsheet to quickly start your import.
A Microsoft Excel document will be downloaded to your computer. Open the spreadsheet and enter the required information for each user, including their name, email address, role, group or hierarchy assignment, and notification settings.
Fields marked with an asterisk (*) are required. The spreadsheet includes instructions and default values for the available fields. If you do not provide values for optional fields, Birdeye will use the default values specified in the spreadsheet.
If a user needs to be assigned to multiple groups, enter the group names separated by commas in the 'Groups' column. You can similarly enter multiple team names separated by commas in the 'Team' column.
For users who are not assigned to groups, specify the 'Hierarchy Type' and 'Hierarchy Value'. Selecting 'All' as the hierarchy value applies the settings to all existing and new locations.
Once you have entered the user information and configured the required notification settings, upload the completed Excel spreadsheet on the 'Add multiple users' screen.
After uploading the spreadsheet, click ‘Next.’
Once ready to import, click ‘Start import.’
Once the import is complete, you will receive a notification confirming the upload.
The users added to the Birdeye account will also receive an email invitation with a 'Set your password and login' button. Users can click the button to set their password and log in to Birdeye.
NOTE:
Now businesses have access to control the source for which they want to get the browser notifications. If the agent wants notifications for only Google and Facebook, they will need to specify Google and Facebook in the Inbox push notification column.
IMPORTANT:
This is available in the bulk upload sheet.
By default, the agent receives notifications for all sources.
If the conversation is assigned to the agent, then they will receive the push notification for that conversation regardless of the source.
Adding Users with SSO
If your account is configured with Single Sign-On (SSO), users cannot be added from the Birdeye dashboard.
Why? With SSO enabled, user management is expected to be handled directly within your SSO platform (e.g., Okta and Azure AD).
Any users you want to provide access to must be created and managed in your SSO provider. Once added there, they will be able to log in to Birdeye through SSO.
For accounts not using SSO, user addition and management can still be done directly from the Birdeye dashboard.
Managing User Creation for SSO Users
For accounts using Single Sign-On (SSO), user creation and management can be handled in the following ways:
1. Public API Integration
You can use the public API to programmatically create users.

2. Automated Provisioning via SCIM (Recommended)
SCIM enables automatic user provisioning and is the recommended approach for managing SSO users at scale.
Once SCIM is enabled, user creation and management are fully automated through your identity provider, making manual or API-based user creation unnecessary.
