Manage Appointments gives your front desk team a single place to view and manage patient appointments handled through Front desk.
Front desk helps your team handle appointment-related conversations and tasks with AI. When an appointment needs human attention, Human Actions gives your team control to review the appointment, follow up with the patient, and take the required action.
From Manage Appointments, you can view unconfirmed, cancelled, and no-show appointments, search for a patient, filter appointments by key details, and switch between list and calendar views. You can also book appointments, confirm bookings, send reminders, and message patients directly from the appointment details.
Use Manage Appointments to quickly identify appointments that need attention and take action without leaving Frontdesk.
Access Manage Appointments
From the left navigation, go to MYNA - OPERATIONS.
Select Front desk.
Under Human Actions, select Manage appointments.
The Manage appointments page opens in list view by default.
View and manage appointments
The Manage appointments page helps you quickly understand the status of your appointments and identify those that need attention.
View appointments by status
Use the status tabs at the top of the page to view appointments based on their current status:
Unconfirmed: View appointments that still need confirmation.
Cancelled: View cancelled appointments.
No-shows: View appointments where the patient did not show up.
All: View all appointments.
Each tab displays the number of appointments in that status, so you can quickly identify what needs attention.
Search for an appointment
Use the Search icon to find a specific appointment. You can search by the patient's name to quickly locate their appointment.
Customize the appointment list
Use the Columns icon to choose the information you want to display in the appointment list. You can sort the appointment list using the column headers, such as Patient, Provider, Appointment type, Insurance Status, and Appointment status.
This lets you keep the view focused on the details your team uses most.
Switch to calendar view
You can also view appointments in a calendar format.
Click the Calendar icon next to the list view option.
Choose Day or Week to change the calendar view.
Use the Status filter to narrow down the appointments displayed.
Click Book appointment to manually schedule an appointment.
The calendar view displays appointments by provider, making it easy to see the schedule across providers at a glance.
Book an appointment
Click Book appointment to manually schedule an appointment from the Manage appointments page. Once you’ve entered the appointment details, click Book.
Follow up with patients
You can take action on an appointment without leaving the Manage appointments page.
Find the appointment you want to manage.
Click the message icon for the appointment.
Review the patient's conversation and appointment details.
Take the required action.
From the conversation panel, you can:
Confirm the appointment.
Send a reminder to the patient.
Review reminders that have already been sent.
Send a message to the patient or use a message template.
The conversation panel also shows appointment details and the history of appointment reminders sent to the patient.
Stay on top of appointment actions
With Manage Appointments, your front-desk team can see what needs attention, find specific patient appointments, follow up with patients, and manage bookings from one place.
Handy Tip: Start with the status tabs to quickly focus on appointments that may need attention, such as Unconfirmed, Cancelled, or No-shows.
