How to Add and Sync Links in Knowledge

The Links section under Knowledge allows you to add and manage website, help center, or support page URLs that power your chatbot AI responses. By syncing these links, you ensure that your AI assistant always references the most up-to-date information when answering customer queries.

You can add links manually, generate links automatically from a sitemap, or import them in bulk. The platform also allows you to schedule or trigger syncs to periodically re-crawl your content and keep business data current. Regular re-syncing helps improve AI resolution rates by ensuring your chatbot has access to the latest knowledge base updates.

Navigation

Go to ‘Settings,’ select ‘Knowledge,’ and click ‘Links.’

Add Links Manually

Click ‘Add links’ in the top right corner of the page.

You can add individual website, help center, or support page URLs one at a time using the Add links manually option.

  • From the dropdown, select the applicable location(s) (default is All locations).

  • Enter the full URL in the input field.

  • Click Add link if you want to add multiple URLs.

  • Click Add to save the link.

Link Processing and Sync Status

Once a link is added, you will be redirected to the ‘All links’ tab. It begins processing and crawling, allowing the system to index its content for AI responses.

After adding the link, you may see a banner indicating ‘Processing 1 link.’

We’ll notify you when the links are ready. Link counts shown below may vary during processing.

During this time:

  • The link status will display In progress

  • You can view the link in the ‘In Progress’ tab.

  • Link counts may temporarily fluctuate while crawling is underway

The Synced counter displays the number of links that have been successfully crawled and indexed.

When a link is successfully processed:

  • A green checkmark appears under the Status column.

  • The link moves from In progress to Synced.

  • The Synced counter increases accordingly.

Generate Links From Sitemap

The Generate links from sitemap option allows you to automatically fetch multiple website pages using a sitemap URL. This helps quickly add large volumes of knowledge content without manually entering each link.

Choose the locations where the links should be applied.

  • Click the All locations dropdown.

  • Select one, multiple, or all locations.

Enter a valid sitemap URL and click Fetch. The system will crawl the sitemap and retrieve available links.

Once links are fetched:

  • Review available links.

  • Select specific links or choose Select all.

  • Click Add to import them.

You will see a confirmation message indicating that the link has been successfully added.

Bulk Import Links

The Bulk import links option allows you to add multiple links at once by uploading a spreadsheet instead of adding links individually.

You can download a sample spreadsheet to understand the required format or download a spreadsheet with all your existing links.

Your spreadsheet must contain the following required fields:

Links* — URL of the page.

Location hierarchy* — Location category (example: Location, Region, State).

Location value* — Location value (example: All, California, Palo Alto).

Save and upload your file, and click Next. The system will validate and prepare your data for mapping.

Map spreadsheet columns to the correct system fields:

  • Links → Links

  • Location hierarchy → Location Hierarchy

  • Location value → Location Value

Confirm the mapping.

Click Next.

Click Start import to begin processing.

Once the process is complete:

  • You will see confirmation showing processed rows and added links.

  • Click Go to links to view imported links.

Confirm newly added links appear in the list.

Check status:

  • Synced.

  • Failed - Hover over the failed status and click ‘View issue.’

Review the error details. Click Retry Sync to attempt processing again.

When a retry or new sync is triggered:

  • The link status changes to In progress.

  • You’ll see a processing indicator until completion.

Actions

Click the three-dot menu corresponding to the link.

Copy Link

  • Copies the selected link URL to your clipboard.

  • Useful for sharing or referencing the link quickly.

Sync

  • Manually triggers synchronization for the selected link.

  • Use this option if:

    • Content on the page has been updated.

    • You want to refresh the generated FAQs.

    • The link previously failed to sync.

After clicking Sync, the link status changes to In progress until processing is complete.

Edit Locations

  • Manually update the location(s) assigned to the link.

  • Helps control which locations the content applies to.

Delete

  • Permanently removes the link from the dashboard.

  • The link will no longer be used for FAQ generation or syncing.

Bulk Actions

Bulk actions allow you to manage multiple links at once. Instead of updating links individually, you can select multiple links and perform actions like syncing, scheduling syncs, editing locations, or deleting links.

Sync Now

The Sync now option immediately updates selected links with the latest webpage content.

Select one or more links and click ‘Sync now.’

Schedule Sync

This option allows you to automatically sync links at a defined time and frequency.

Select links and click ‘Schedule sync.’

  • Choose frequency (example: Weekly).

  • Select day and time.

  • Click Save schedule.

The system prompts you to choose how the content should be updated during sync. This step confirms what should happen when the scheduled sync runs.

You’ll see a Sync now confirmation window with two options. After selecting the desired option, click ‘Sync now.’

You can view the links that have been scheduled to sync.

Edit and Delete Sync Schedule

After scheduling the links, you will view two more options under the ‘Bulk actions,’ which let you modify an existing sync schedule and delete the existing sync schedules.

Edit Locations

Allows you to update where selected links are available (for example, specific locations or all locations).

Select links and click ‘Edit locations.’

  • Select or remove locations.

  • Click Save.

Changes apply to all selected links.

Delete Links

Permanently removes selected links from the knowledge base.

NOTE:

This action cannot be undone.

Select links and click ‘Delete.’

Confirm deletion.
