Optimizing your business listings is critical to improving your visibility across search engines and AI-powered search. The Listings Optimization Agent periodically analyzes your listing data, identifies high-impact opportunities, and generates personalized recommendations to improve your listings across business locations. With data-driven recommendations for keywords, descriptions, services, photos, special hours, and more, you can streamline listing optimization without relying on manual guesswork.
About the Listings Optimization Agent
The Listings Optimization Agent helps businesses identify opportunities to improve their listings across multiple locations. It uses your business information, search and ranking data, manually added keywords, and competitor websites to identify relevant keywords and generate recommendations for optimizing your listings.
The agent can generate recommendations for areas such as business descriptions, services, photos, Google posts, and special hours. It can also monitor the status of your Google Business Profiles and alert you when a profile requires attention, such as when it enters pre-verification or is suspended.
You can review the generated recommendations and choose which changes to approve. Depending on the recommendation, approved changes can be applied to the relevant sections of your Birdeye business profile and pushed to the applicable listing directories.
How the Listings Optimization Agent works
The Listings Optimization Agent runs on a weekly or monthly schedule that you configure. When the agent runs, it analyzes information about your business and locations, gathers relevant keywords, and uses that information to generate recommendations for optimizing your listings.
The agent can identify keywords from your business country, category, Google Search data, and ranking reports. You can also add keywords manually and provide up to five competitors for the agent to analyze. It then combines and refines the available keywords before using them to generate recommendations for different areas of your listings.
These recommendations can include updates to business descriptions, services, photos, Google posts, and special hours. The agent can also check the status of your Google Business Profiles and provide alerts when a profile enters pre-verification or is suspended.
Once the recommendations are generated, they are available in Actions > Recommendations, where you can review each recommendation and approve or reject it. Approved recommendations are applied to the relevant areas of your business profile and, where applicable, pushed to the respective listing directories.
Access the Listings Optimization Agent
From the left navigation menu, go to Listings.
Expand Agents.
Select Optimization agents.
In the Library tab, hover over the Listing optimization agent.
Click Use agent.
Configure the Listings Optimization Agent
Click the Listing optimization agent to open the agent configuration panel.
From the right panel, you can:
Modify the Name of the agent.
Review the pre-configured Goals for the agent.
Click the pencil icon next to Locations to select the business locations where you want the agent to run.
Click Save after making your changes.
The Goals are already configured in the pre-built agent, so you can review them and modify the Name and Locations based on your requirements.
Configure the schedule
The Schedule run trigger determines when the Listings Optimization Agent automatically runs and generates listing optimization recommendations for your selected business locations.
Under Frequency, choose how often you want the agent to run:
Weekly
Monthly
If you select Weekly, configure the scheduled day and time for the agent to run.
If you select Monthly, you can choose the date and time when the agent should run.
For a monthly schedule, select the day of the month under Date and choose the preferred Time.
Once you've configured the schedule, click Save.
The agent will then run automatically according to the schedule you selected and generate listing optimization recommendations for the configured locations.
Discover business keywords
The Discover business keywords action identifies keywords that are relevant to your business and can be used to generate listing optimization recommendations.
The pre-configured action can use your business's category and country, along with keyword data from your Google Search Appearance and Google Search Ranking reports. You can also add your own seed keywords to ensure the agent considers specific terms that are important to your business.
Click the pencil icon next to the Discover business keywords tool to review or configure the keyword sources.
In the Seed keyword selector, you can:
Review keywords sourced from your business listing fields, such as Category and Country.
Enable Seed keywords from Appearance report to use keywords from Google Search Appearance data.
Enable Seed keywords from Ranking report to use keywords from Google Search Ranking data.
Add your own seed keywords, separated by commas. You can add up to five custom seed keywords.
For example, you can add a specific service or business term that you want the agent to consider when generating recommendations.
Click Save after configuring the keyword sources and custom seed keywords.
NOTE:
The agent combines these keyword sources to build the keyword set it uses for subsequent listing optimization recommendations.
Discover competitor keywords
The Discover competitor keywords action analyzes competitor websites to identify keywords they rank for. These keywords are used alongside the business keywords discovered in the previous step to identify additional optimization opportunities.
Click the pencil icon next to the Discover competitor keywords tool to configure the competitor sources.
In the Competitor keyword finder, you can add the competitor domains you want the agent to analyze.
Add competitors whose websites you want the agent to evaluate for relevant ranking keywords.
You can add up to five competitors.
To add another competitor after reaching the limit, remove an existing competitor first.
Click Save after selecting the competitors.
The agent analyzes the selected competitor domains and uses the keywords they rank for as additional inputs for the listing optimization process.
NOTE:
Adding relevant competitors helps the agent identify keyword opportunities that may not be present in your existing business or search data.
Refine keywords
The Refine keywords action combines the keywords identified from your business and competitors into a single, optimized keyword set. It removes duplicate keywords and refines the list based on their potential impact so that the most relevant keywords can be used for listing optimization recommendations.
The Basic tab lets you review or modify the Action name and Description. The pre-configured action already describes its purpose, so you generally do not need to change these settings.
Review the prompts
Switch to the Prompts tab to review the instructions that determine how the agent refines the keyword lists.
The action uses:
Original SEO keywords, including their impact scores and monthly search volumes.
Competitor keywords identified in the previous step.
The system prompt instructs the agent to clean, deduplicate, and consolidate these keywords into a single optimized set while preserving search intent and visibility.
You can review or modify the prompts based on how you want the agent to refine the keyword set.
Review input and output fields
Open the Fields tab to see the information provided to and returned by the action.
The action uses:
SEO keywords
Competitor keywords
It produces a keyword list, which is passed to the next step in the workflow.
Review the context and AI model
The Context tab shows any additional context provided to the action and the LLM model used for processing.
In the pre-configured agent, no additional context is configured for this action, and the LLM model is set to Balanced.
The refined keyword list is then used by the next Map keywords to profile fields action to determine where the keywords can be applied across your listing profile.
Map keywords to profile fields
The Map keywords to profile fields action organizes the refined keyword set and assigns keywords to the profile areas where they can be used for optimization.
In the Prompts tab, you can review the instructions that determine how the agent maps the keywords to the different profile fields.
The pre-configured agent already includes the required prompt and keyword list, so you generally do not need to modify these settings.
NOTE:
Wherever the action configuration panel includes Basic, Prompts, Fields, and Context tabs, you can switch between them to review the complete configuration of the action. This applies throughout the agent workflow. The Refine keywords section above provides an example of these configuration tabs.
Generate description
The Generate description action creates an optimized business description using the refined keywords identified in the previous steps. It incorporates selected keywords into the existing business description while preserving the business's original meaning and key information.
In the Prompts tab, you can review the instructions used to generate the description. The pre-configured prompt:
Uses the Business description keywords identified by the previous action.
Incorporates 1–3 distinct keywords naturally into the existing description.
Preserves the original meaning, value propositions, and exact Business Name.
Includes the Business City and Business State when they are provided.
Keeps the final description under 700 characters.
The action also uses the existing Main Description as an input, so the generated version can optimize the current business description rather than creating an unrelated description from scratch.
Generate service recommendations
The Generate service recommendations action identifies relevant services based on the refined keywords and recommends services that closely match your business offerings. These recommendations can help ensure that the services listed on your business profile are relevant to the keywords associated with your business.
The pre-configured prompt instructs the agent to:
Recommend 3–5 primary, high-intent services that directly match the provided keywords.
Avoid generic or duplicate services.
Provide a brief 10–15 word description of the expected SEO or local visibility impact for each recommended service.
Return no recommendations when the available keywords do not strongly match valid services.
The Services keywords generated by the previous keyword-mapping step are used as the input for this action.
Generate photo recommendations
The Generate photo recommendations action identifies opportunities for new photos that can strengthen your listing's visibility. It uses the Photos keywords generated in the previous step and recommends photo topics that can be clearly represented visually.
The pre-configured prompt instructs the agent to:
Select only keywords that can be clearly depicted in a photograph.
Generate one photo recommendation per selected keyword.
Provide a 10–15 word description of the recommended photo scene.
Explain in 10–15 words how the photo could improve search visibility, trust, or click-through.
Return no recommendations when the available keywords are not visually suitable.
The agent does not generate the photos itself. Instead, it provides recommendations that you can use to capture or source appropriate images for your listing.
Recommend special hours
The Recommend special hours action reviews upcoming holidays and your current business hours to identify when special-hours updates may be needed.
The action generates recommendations to help ensure that your listing reflects accurate business hours during holidays or other applicable dates. This helps customers see the correct operating hours when planning a visit.
The pre-configured agent handles this step automatically as part of the scheduled optimization workflow.
Check Google verification status
The Check Google verification status action checks your Google Business Profile for verification-related issues.
The action identifies verification signals and generates a recommendation with the appropriate next steps when action is required.
This allows you to identify potential Google Business Profile verification issues through the recommendations generated by the agent.
Publish recommendations
The Publish recommendations action makes the recommendations generated by the agent available for review.
The action sends the recommendations to the recommendations area, where you can review, approve, or reject them before applying changes to your listings.
Recommendations can include updates such as:
Business descriptions
Services
Photos
Google posts
Special hours
Google Business Profile verification-related actions
Once recommendations are available, you can review each one and decide whether to apply the suggested change to the relevant section of your business profile and push it to the applicable listing directories.
Run a test
Before activating the Listings Optimization Agent, you can run a test to verify how the configured workflow generates recommendations for a specific location.
Click Run test in the top-right corner.
A Preview settings window opens, allowing you to select the location you want to use for testing.
Select a location from the list, then click Run test.
The agent runs the configured workflow for the selected location, allowing you to review the recommendations and verify that the agent is working as expected.
Review the test results
After the test completes, the Test details panel displays the outcome of each step in the Listings Optimization Agent workflow. A green check mark indicates that the step was completed successfully.
Each task in the test results can be expanded to review the information generated by that step.
For example, you can expand Refine keywords to view the generated Keywords list, including the keywords, search volume, and search impact returned by the action.
You can also expand other tasks to review their generated outputs, such as the keywords mapped to profile fields and the recommendations generated for descriptions, services, photos, and other listing areas.
The test results also show the status and outputs of the final actions, including Recommend special hours, Check Google verification status, and Publish recommendations.
Review the task outputs to verify that the agent is generating the expected keyword data and listing optimization recommendations before activating the agent.
After reviewing the results, click Exit test to return to the agent workflow.
This preview helps you validate the agent’s recommendations and understand exactly what changes will be suggested across your business listings.
Activate the Listings Optimization Agent
After configuring and testing the agent, you can choose how to save it.
Click Activate to publish the agent and make it available for use.
Click the dropdown arrow next to Activate and select Save as draft to save the configuration without publishing the agent.
Using AI Recommendations
On this page, you’ll see three sections: Pending, Accepted, and Rejected.
Pending
The Pending section displays all recommendations that require your review and are yet to be accepted or rejected.
You can view recommendations categorized by Services, Photos, Special hours, and Google description. Each recommendation displays its ranking impact (High, Medium, or Low), the reasoning behind the suggestion, its potential reach if accepted, and the number of locations it applies to.
Hover over the recommendation to Accept, or Reject the recommendation.
When you click Accept, a drawer opens on the right side of the screen showing a detailed recommendation overview. You can also see the business location(s) where this recommendation applies. Click Accept in the top right corner to continue.
NOTE:
If it applies to multiple locations, all names will be listed. You can easily select or deselect specific locations to customize where you want the recommendation to be implemented.
After a recommendation is accepted, it moves to the Accepted section and is removed from the Pending section. The update is processed on the backend almost instantly and synced directly to your Google Business Profile (GBP).
For photo recommendations, click Upload, and you’ll be redirected to the business profile page to manually upload photos. This is because Google’s policies do not allow third-party or AI-generated photos — only real, authentic photos are accepted.
You can click Reject if a recommendation is not relevant or applicable to your business.
When you click Reject, a pop-up window appears asking you to share the reason for rejecting the recommendation. Your valuable feedback helps us evaluate and improve future suggestions.
After a recommendation is rejected, it moves to the Rejected section and is removed from the Pending section.
Manage AI agent recommendations
Click the three-dot menu in the top-right corner to access additional options:
Download — Download the AI agent recommendations.
Email — Email the AI agent recommendations.
Schedule — Schedule delivery of the AI agent recommendations.
Edit AI agent — Open the Listings Optimization Agent configuration to make changes.
Bulk Actions
Click Accept or Reject recommendations under Bulk actions.
For example, after clicking Accept, you can select all or multiple recommendations at once. Once you’ve made your selections, click Accept to apply them.
NOTE:
Photo recommendations cannot be accepted in bulk, as they require manual action to upload and complete.
Accepted
Click the Accepted section to view all accepted recommendations.
Hover over the recommendation, click the three dots button and click View details.
A drawer opens on the right side, showing the details of the accepted recommendation, including the date it was updated and who made the update, along with other details.
Click Give feedback in the top right of the panel.
After clicking on the Give feedback button, you can let us know what went right to help us improve our recommendations.
Rejected
Click Rejected to view all the rejected recommendations. Hover over the recommendation and click View details.
A drawer opens on the right side, showing the details of the rejected recommendation, including the date it was updated and who made the update, along with other details.
Click Give feedback in the top right of the panel.
After clicking on the Give feedback button, you can let us know why the recommendation was rejected to help us improve our recommendations.
