Understanding Birdeye Reports: 'Review Reports'
Birdeye provides you with a robust report management system that helps you get better insights into the data aggregated into your account. You can view data pertaining to reviews, platform usage, visitors, and more.
Let's look at the type of reports available under 'Review reports'. The reports available under this tab are divided into five categories mentioned below.
REVIEW & RATING
To view the 'Review reports,' click on the 'Reports' tab on the left navigation rail of your Birdeye dashboard. Once on the 'Reports' page, you can view the 'Review & rating' report sorted under 'Over time, 'By source,' 'By location,' 'Leaderboard', and 'Visitor report.'
The 'Over time' report helps businesses analyze the total number of reviews with their average rating for a defined period. The 'Over time' report can be viewed in 'Chart' and 'Table' format. To get detailed data for any period, hover over any bar/line on the graph. This will give you the actual (represented by a solid line) and projected (represented by a dotted line) the number of reviews and the average star rating of the reviews. You also can view data on a 'Yearly', Quarterly', 'Monthly', 'Weekly', and 'Daily' basis. However, the minimum threshold to show projected data is more than a day. Click on the 'Monthly' drop-down menu to change the time format.
In the 'Tabular' format, you will be able to see the 'Reviews Count' and the 'Average Rating'.
SCHEDULE AND DOWNLOAD REVIEW REPORTS
Birdeye users have access to download, email, and schedule review reports. Click on the 'Actions' drop-down menu and you will view four options which include Download, Email this report, Email all reports, and Schedule.
Download Review Reports
The review reports can be downloaded by selecting the 'Download' option. When a pop-up window appears, select whether you want to download the report in XLS (Excel) or PDF format. To download it, click the 'Download' button.
RECEIVE EMAIL REPORTS
You can send all of the review reports, as well as one specific review report, via email.
Email This Report - You have the option of sending a particular review report by email. Reports can be sent to users who have been added to the Birdeye dashboard. The report being emailed would have filtered data based on the selection in the ‘Filter by’ section.
A drawer opens on the right side. The subject line and body have a pre-filled placeholder text but are also customizable. Click on ‘Send’ on the top right corner after you fill in the required information.
Email All Reports- In case you want to obtain the entire report, you can have it emailed to you by clicking the 'Email all reports' option and then adding a subject and the email IDs to which you would like the report to be emailed. Your email ID will be pre-populated. You can also add multiple email IDs and press 'Enter' to proceed.
Schedule Review Reports
You can schedule review reports under the ‘Reports’ tab. You can select different dates and time frequencies to schedule the reports. You can set reports to be delivered daily, weekly, monthly, or quarterly basis in the XLS or PDF format. The 'By source' review report displays the average rating received from the different review sources. The top compartment lists the 'Review summary' for all the review sources.
'By location' reports track the same information for all locations. This report is available in both 'Chart' and 'Table' formats. The average review rating with total reviews for a specific location can be obtained by hovering over the bar indicating the location.
To view the report in the 'Tabular' format for an enterprise account, click on the 'Chart' drop-down menu and select the 'Table' option. The 'Tabular' format lists all the business locations with the total review count and the average rating.
The 'Leaderboard' report summarizes the performance of employees under the categories of reviews requested, reviews received and ratings. RELATIVE LOCATION RANK
The report on 'Relative location rank' helps businesses understand how different locations stack up against each other. This report is available for enterprise customers only. To view the 'Relative location rank' reports, hover over the 'Review reports' drop-down menu and click on the 'Within all locations' option under 'Relative location rank'.
The 'Relative location rank' report will display the selected location in 'Blue' with the rank and the rating summary on the top.
AVERAGE RESPONSE TIME
Next, you have the ability to view reports under the category of 'Average response time'. The 'Average response time' reports are sorted by 'Over time', 'By location', and 'By owner'.
The 'Over time' report helps businesses analyze the average response time for a defined period. To read the detailed data, hover over any bar on the screen.
The 'By location' report displays the average response time for all the business locations. To view the report for one location, hover over the bar.
The 'By owner' report displays the average response time for each business owner added to the Birdeye account.
NPS REPORTS
The fourth category under 'Review reports' is the 'NPS' category. 'NPS reports' are sorted under 'Over time', and 'By location' categories.
The 'Over time' NPS report helps businesses analyze the review of customer sentiment for a defined period. The data will be visible in terms of 'Promoters, 'Detractors', and 'Passives'. Hover over any bar to read the statistical data for 'Promoters', 'Passives' and 'Detractors' over a period of time. You can also view the total percentage of 'Promoters', 'Passives', and 'Detractors' below the graph. If you wish to view the report for a single category, you can uncheck the corresponding boxes for other categories.
The 'NPS by locations' report displays the sentiment summary for any selected location. If you wish to view the report for a particular location, hover over the graph. You can view the 'Promoters', 'Passives', and 'Detractors' data in terms of 'Count' and 'Percentage'.
Tag Reports
The last category under 'Review reports' is the 'Tag reports', which shows the information on review tags. Tag reports are sorted under three categories: 'Over time', 'By count' and 'By location'.
The 'Over time' option allows you to view the tag data aggregated over time. Birdeye offers two views of 'Tag reports': 'Chart' and 'Table'. You can also email the reports to one or more users and download the reports in two formats: 'PDF' and 'Excel'. When you select a tag and hover over a bar on the graph, you can view the number of reviews the tag is associated with over a particular period of time.
To select a tag, click on the drop-down menu under 'Tag' filter and click on the 'Apply' button after selecting the tag you want. You will be able to select one tag at a time to view its usage over a period of time. You will have the ability to use the filters to view the data in the past 12 months, this year, past few months and so on. You can also select the 'All time' data or set a custom range in the 'Time period' filters.
The 'Tag by count' report shows the number of reviews a tag is associated with. Just navigate to the tag for which you want to view the report and hover over the bar associated with it to view the review count.
You can manually select the tags for which you want to view the reports from the 'Filter by' tab on the right. Click on the 'See all filters' button.
On the pop-up window, click on the 'Tags' filter and select the tag for which you want to view the review count. Apply the filter now.
The 'Tag by location' report shows the number of reviews associated with a particular tag at a given location and is available for enterprise accounts only. To view the review count for a location, navigate to the location you want and hover over the corresponding bar.
